| IT Project Manager (SAP Ariba) | Harrisburg, Pennsylvania | Project Manager: SAP Ariba Implementation reports to Director of IT Shared Services, but may take direction from the Director of Shared Services, and/or the Vice Chancellor for Administration and Finance.
Position Duties, Responsibilities, Skills, and Requirements:
• Directly responsible for all aspects of project management leading to a successful implementation of SAP Ariba, including, but not limited to:
o Working closely with SAP Ariba implementation team, director of System-wide strategic sourcing, SAS functional and technical staff, System-level strategic procurement office, and university procurement staff to develop a comprehensive scope of work and functional/technical requirements that will be used to determine acceptance of deliverables.
o Being responsible for daily management of the SAP Ariba implementation project from initiation to successful implementation.
o Preparing project documents that will be approved by appropriate project governance/project leadership to be used to communicate, with all System constituents, the expected capabilities of procurement using SAP Ariba.
o Working closely with SAP Ariba project management to develop a detailed project plan for all aspects of the implementation, including resource requirements, timelines, costs, prerequisites, dependencies, etc.
o Identifying necessary project resources and working to secure them onto the project.
o Overseeing and obtaining appropriate approvals for all project deliverables.
o Being accountable for communicating project budget, scope, and schedule.
o Serving as the primary escalation point for all project-related changes, risks, and issues.
o Working with leadership to secure appropriate resources to ensure successful project delivery.
o Working closely with functional and technical leads/teams to communicate and coordinate work effort required for the necessary integration of systems.
o Working closely with the business owners, functional project leads, IT personnel, and executive leadership.
o Closely monitoring SAP Ariba project activities, along with all tangentially-related projects to ascertain overlap of duties and risk.
o Communicating risk factors with Director of Integrated Information Systems to ascertain necessary escalation.
o Facilitating conflict resolution within the project team and being responsible to escalate to leadership when needed.
o Managing project resources throughout the project lifecycle to ensure project collision avoidance.
o Managing vendor resources in partnership with SAP Ariba’s project manager.
o Establishing clear expectations regarding status reporting, team communication, and deliverables management.
o Being accountable for the successful delivery of assigned projects within SAP Activate Methodology standards and following established PMO standards/guidelines.
• Ensure that strategic sourcing analytics, business intelligence, and operational reporting needs—both at the System- and university-level—have been determined and factored into the project planning work effort. Identify any required modifications and/or additional work effort required of the source data that feed the existing business warehouse environment.
• Work closely with SAS Finance functional staff, SAP Ariba change management and training team, designated university representatives—procurement staff, accounting staff— to ensure a comprehensive plan is in place to prepare each university community to procure using the SAP Ariba tools.
• Advise Director of Shared Services, Director of IT Shared Services, and Director of System-wide Strategic Sourcing, on policy, resources, and support requirements to transition from a project management team to an ongoing support staff.
• The Project Manager is responsible for leading the delivery of SAP Ariba Projects (SAP Ariba Sourcing, Contracts, Buying, and Invoicing Modules) and services as required. Experience with SAP Ariba tools and Project Management Methodologies (e.g., SAP Activate Methodology) is highly preferred. It is beneficial if candidate has managed multiple (more than 2) full lifecycle SAP Ariba or SRM implementations, with preference for experience in public sector implementations.
• Candidate should have strong communication skills / knowledge and have the ability to manage teams of employees, sub-contractor relationships, and client-facing relationships. The ideal candidate will have strong presales, sales, and post-sales client presentation experience, as well as the ability to guide teams through implementation processes such as: planning, fit/gap analysis, configuration, testing, rollout, and the post-implementation support of SAP public sector solutions.
• Candidate must have the ability to define system requirements and participate in design workshops.
• Candidate must have the ability to travel to constituents across the state system universities.
• Candidate must have excellent verbal and written communication skills and a customer-first focus.
• Candidate must have strong leadership and collaboration skills.
• Experience in SAP Ariba/SRM or other procurement system implementation is preferred.
• Experience and knowledge of SAP modules including FICO, MM, and HR are preferred.
• 5-7 years of PM industry and/or consulting experience is preferred.
• Experience in Public sector (Higher Education, State/Local Government, Healthcare) is preferred.
